Event Production Guide

This is guide for event producers who are having their event broadcast on Treet TV.
Planning - in the beginning
- Scheduling
- When do you plan to have your event take place?
- What is the planned length of the broadcast
- What are the scheduled breaks for the duration of the event
- Content
- Can you supply a short description of the event you have planned
- Will there be supplementary content supplied to be integrated into the broadcast
- Do you have an host/commentator who will be your main voice talent
- Sound
- What will be the sound source for voice talent (Skype, Inworld voice, Soundreach)
- Please refer to our Audio Guide for assistance in setting up sound
- Avatars
- Are the talent experienced at being in Second Life? If not, are you providing special training to control their avatars
- Is there going to be someone avateering, if so, we can assist them in understanding how to get lip sync working for the camera
- Music
- If music is to be used can you confirm it is rights cleared
- You can use the Production music and sound effects guide for places to locate appropriate music
- Viewing the video stream on a web page
- The live stream will be located at http://www.treet.tv/live
- You can also embed the video on your own web page using the video embed code
- Viewing the live stream inworld
- All televisions with Treet enabled will play the event on the Live channel

- Please test that the TV is installed properly and you are seeing the live stream
- Live Chat & Overflow hosts
- Will there be dedicated people from your team available on the chat or at overflow locations to answer the many questions that are often raised during a live event by participants
- Publicity

Pre-Production - 1-7 days before event
- Sound
- Sound checks with all talent should take place in the days prior to the event day
- All talent should be inworld at least 1 hour before the event begins
- Who is hosting the Skype call
- Audio Streams
- If the audio is being recorded from Skype then Treet will supply a land URL for the Music stream to play the audio for the show
- The land URL should be changed the day before the event and tested in the hour before the event once the audio stream is running
- Graphics
- All graphics and images to be inserted into the video should be in high resolution
- Logos should be supplied as layered original files - Photoshop or Illustrator are ideal
- Script and Runsheet
- You need to supply a rough script at least 3 days prior to the event
- Your Treet TV Event Producer will prepare a runsheet for the show that includes key elements and when they appear in the show
- Credit Roll
- Please supply a completed list of names and credits that should be included in the credit roll that appears at the event of the event broadcast
- Talent
- You should provide all your talent with the guest guidelines
- Your Treet TV Event Producer will guide you on how the cues work for when we are live and off the air
- Rehearsal
- It is critical to arrange for a rehearsal to step through how the event is going to work
- Communication
- Please suggest your preferred method for keeping all the key production crew and talent in voice communications prior to and during the live event
Production - day of the event
- Audio
- Check the Music stream is working
- Guests
- Run through the guest guidelines to ensure all participants are ready for show live
- Access
- If there are entry restrictions please add the Treet production team to any group access lists - Truman Donaldo, Mr Mims, Texas Timtam, Mike Sparks
- Camera caching
- If there are outfits for a fashion show or presentation slides, time should be allowed for caching content so it rezzes for the camera
- Avatars
- Is inworld voice on so we get lip sync
Post Production - after the event
- Publishing
- The archive video will typically go live within a day of broadcast (unless there are unexpected editing requirements)
