Event Production Guide

This is guide for event producers who are having their event broadcast on Treet TV.

Planning - in the beginning

  1. Scheduling
    1. When do you plan to have your event take place?
    2. What is the planned length of the broadcast
    3. What are the scheduled breaks for the duration of the event
  2. Content
    1. Can you supply a short description of the event you have planned
    2. Will there be supplementary content supplied to be integrated into the broadcast
    3. Do you have an host/commentator who will be your main voice talent
  3. Sound
    1. What will be the sound source for voice talent (Skype, Inworld voice, Soundreach)
    2. Please refer to our Audio Guide for assistance in setting up sound
  4. Avatars
    1. Are the talent experienced at being in Second Life? If not, are you providing special training to control their avatars
    2. Is there going to be someone avateering, if so, we can assist them in understanding how to get lip sync working for the camera
  5. Music
    1. If music is to be used can you confirm it is rights cleared
    2. You can use the Production music and sound effects guide for places to locate appropriate music
  6. Viewing the video stream on a web page
    1. The live stream will be located at http://www.treet.tv/live
    2. You can also embed the video on your own web page using the video embed code
  7. Viewing the live stream inworld
    1. All televisions with Treet enabled will play the event on the Live channel
    2. You can get a free TV from XstreetSL - https://www.xstreetsl.com/modules.php?name=Marketplace&file=item&ItemID=1479491
    3. Please test that the TV is installed properly and you are seeing the live stream
  8. Live Chat & Overflow hosts
    1. Will there be dedicated people from your team available on the chat or at overflow locations to answer the many questions that are often raised during a live event by participants
  9. Publicity
    1. If you are writing a media release about the event we appreciate if you can include the About Treet Blurb and our logo http://wiki.treet.tv/File:Treet_logo_kit_14feb09.zip


Pre-Production - 1-7 days before event

  1. Sound
    1. Sound checks with all talent should take place in the days prior to the event day
    2. All talent should be inworld at least 1 hour before the event begins
    3. Who is hosting the Skype call
  2. Audio Streams
    1. If the audio is being recorded from Skype then Treet will supply a land URL for the Music stream to play the audio for the show
    2. The land URL should be changed the day before the event and tested in the hour before the event once the audio stream is running
  3. Graphics
    1. All graphics and images to be inserted into the video should be in high resolution
    2. Logos should be supplied as layered original files - Photoshop or Illustrator are ideal
  4. Script and Runsheet
    1. You need to supply a rough script at least 3 days prior to the event
    2. Your Treet TV Event Producer will prepare a runsheet for the show that includes key elements and when they appear in the show
  5. Credit Roll
    1. Please supply a completed list of names and credits that should be included in the credit roll that appears at the event of the event broadcast
  6. Talent
    1. You should provide all your talent with the guest guidelines
    2. Your Treet TV Event Producer will guide you on how the cues work for when we are live and off the air
  7. Rehearsal
    1. It is critical to arrange for a rehearsal to step through how the event is going to work
  8. Communication
    1. Please suggest your preferred method for keeping all the key production crew and talent in voice communications prior to and during the live event


Production - day of the event

  1. Audio
    1. Check the Music stream is working
  2. Guests
    1. Run through the guest guidelines to ensure all participants are ready for show live
  3. Access
    1. If there are entry restrictions please add the Treet production team to any group access lists - Truman Donaldo, Mr Mims, Texas Timtam, Mike Sparks
  4. Camera caching
    1. If there are outfits for a fashion show or presentation slides, time should be allowed for caching content so it rezzes for the camera
  5. Avatars
    1. Is inworld voice on so we get lip sync


Post Production - after the event

  1. Publishing
    1. The archive video will typically go live within a day of broadcast (unless there are unexpected editing requirements)
